Salary £30,000
Hours Full-time (negotiable). Some evenings and weekends will be required. 
Holidays 25 days, in addition to the usual public and bank holidays
Place of work This position is based at the National Opera Studio, 2 Chapel Yard, London SW18 4HZ. The ability to travel and work away from the Studio is also required on occasion. Flexible working is available by arrangement, depending on activity. 
Start date Flexible, but ideally in the next 3 months

Purpose of the Role 

The Studio and Events Manager supports the operational and administrative functions of the studio. They are responsible for the smooth running of the building, office spaces, and logistical requirements of the National Opera Studio. The Studio and Events Manager also manages and coordinates other projects and processes at NOS such as the hiring out of our building’s spaces and management of the Studio’s events. The role includes some general and financial administration as well as providing support for other members of the NOS team.  

Main Accountabilities  

  • To ensure the smooth and efficient running of the office, studio spaces, and building 

  • To manage the maintenance and operations of the studio 

  • To manage and co-ordinate all NOS events 

  • To manage and co-ordinate the venue hires processes and earned income streams 

  • To manage cleaners, caretakers, FoH, and maintenance workers 

  • To provide logistical and administrative support to the wider NOS team 

 

Specific Responsibilities

 Events 

  • Act as the point of contact for external venues during NOS productions and performances  

  • Organise logistics for delivery of instruments, set, props, and technology for NOS residencies and performances 

  • Organise accommodation and travel for Artists and Staff during NOS residencies and performances 

  • Act as Duty Manager for external events where required and for in-house events and manage FoH and caretaking staff as required 

  • Organise and manage logistics for all events at the National Opera Studio’s premises  

  • Manage ticketing processes and guest lists in partnership with the marketing department  

  • Oversee management of box offices 

  • Ensure accurate events paperwork and records are kept, including managing venue contracts, PRS, rights/licence contracting, and audience data 

  • When necessary, provide or oversee catering for in-house events and liaise with external caterers for external events  

 Building and Operations  

  • Set up spaces for performances, rehearsals, and coaching sessions  

  • Ensure that all spaces are kept tidy and are left in a useable condition and that all props, costume, filming/lighting equipment is safely stored away when not in use 

  • Ensure the building is safe at all times and oversee Health & Safety requirements 

  • Lead on overseeing the continuous and effective operation of the NOS premises 

  • Develop and review the annual maintenance plan for the NOS, including budgeting  

  • Be responsible for ensuring that regular maintenance and timely repairs are carried out on NOS premises, guiding other staff as necessary  

  • Review contracts at regular intervals, examining quality and value and benchmarking as appropriate, putting out to tender for larger maintenance contracts  

  • Advise the Executive Director on changes or improvements to the effective running of the NOS premises  

  • Oversee all IT functions including IT maintenance and liaising with our IT providers  

  • Work with the Finance Administrator and Executive Director to maintain timely payments processing, appropriate approval of incoming invoices, and timely issuing of outgoing invoices  

 Systems  

  • Support the Executive Director in ensuring efficient and effective systems, procedures and controls are in place across the organisation 

  • Take ownership of maintaining the CRM across the organisation  

  • Work to make financial and other processes as seamless as possible for staff yet still robust, working to make processes automated where possible and integrated with a new CRM, website, and online payment and booking systems. 

 Team and Management  

  • Line-manage and schedule the caretaker, FoH team, and cleaners 

  • Ensure members of the NOS staff have access to information on financial processes as appropriate  

  • Manage and support all other staff in their finance and operations functions  

  • Issue contracts for visiting coaches, artists and staff, working with the Head of Artistic Planning and Executive Director, updating clauses in line with any changes in legislation  

Venue Hire 

  • Coordinate the Studio’s Hires function, managing processes and payments, the hires email account and calendar 

  • Liaise with external companies, artists, coaches and members of the public to give quotes, take bookings, and send contracts 

  • Create invoices, or liaise with the Executive Director regarding invoices and follow up on payments 

  • Organise the supply of FoH and caretaking staff where needed  

 Office Management 

  • Attend staff meetings and hold regular maintenance meetings with the appropriate personnel  

  • Attend to and deal with day-to-day enquiries, including overseeing and managing different email accounts 

  • Ensure that stocks of stationery, refreshments, and other office supplies are sufficient and place orders as required or requested 

  • Ensure that the library is kept in a tidy and organised condition 

  • When requested, order from and return scores to music publishers 

  • Work with and help other departments or members of staff as required 

 Other  

  • Be willing to undertake training as required 

  • Work evenings or weekends where required and form part of the front of house team at NOS events as needed 

  • Work with all staff to foster strong relationships with donors and audience members  

  • Be keen to make a positive contribution to the life of NOS  

  • Work as part of a team and contribute to the viability, strategic planning and development of the organisation as a whole  

  • Act as ambassador and advocate for NOS, and actively support the external-facing functions of the organisation where appropriate  

  • Actively pursue and develop all duties and responsibilities in accordance with the policies and values of NOS

Skills and qualification requirements 

 Essential experience 

  • Working in office or event coordination 

  • Implementing and improving the efficiency of workflows  

  • Budgeting and scheduling, including some staff management  

  • Organising and managing deliveries  

 

Desirable experience 

  • Working as Front of House at events either in hospitality or the arts  

  • Leading a team in customer facing roles  

  • A knowledge of opera, classical music, or other artistic performances 

 Personal 

  • Strong organisational and time management skills, with the ability to prioritise tasks effectively 

  • Excellent communication and interpersonal skills, with the ability to build and maintain key relationships 

  • Be a resourceful, capable and confident problem solver
